Basic Function: Under the general direction of the CEO/Director of Human Resources, the primary responsibilities of the Office Assistant are to professionally and courteously greet, direct and assist guests and clients on telephone and in person; The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department. Responsible for handing in front office reception and administration duties, including greeting guests, answering phones, special projects, handling company inquiries, and sorting and distribution of mail.

 

Key Responsibilities:

 

· Maintains accurate and up-to-date human resource files, records, and documentation.

· Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.

· Maintains the integrity and confidentiality of human resource files and records.

· Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.

· Provides clerical support to the HR department.

· Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.

· Maintains inventory and organization of office and kitchen supplies.

· Maintains inventory count and inventory report of employee uniforms.

· Administers pre-employment safety training for all new employees and coordinates the distribution of uniforms prior to their start date.

·  Coordinate and execute retention programs such as corporate events, service awards, employee of the month, Friday breakfast and snack provision for the corporate office. 

· Use the employee birthdays report to customize birthday cards, ask executive team to sign and send via mail to each employee 2 days prior to the birthday date. 

· Knowledge of general office procedures and customer service principles and practices.

· Demonstrated skill and proficiency with Windows-based computer applications (specifically Word, CRM, Power Point, Outlook and Excel Software) and other industry-related software and office equipment. 

·  Assist the new candidates on fulfilling their onboarding to our ATS. 

·  Performs other duties as assigned.

  Required Skills:

·  High School Diploma or equivalent plus a minimum of one year of experience in an office assistant and/or customer service role in a fast-paced office environment.

·  This is a great entry-level role for anyone pursuing a bachelor's degree in marketing, Business Administration or equivalent.

·  Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

·  Excellent organizational skills and attention to detail.

· Proficiency in Microsoft Office 365, advanced Excel proficiency, CRM preferred.

·   At least 2 years of administrative experience, office administration, customer service, sales administration and/or sales analysis highly preferred.

·   Bilingual skills in English/Spanish a must
