JOB PURPOSE

 

The Office Coordinator performs assigned clerical  tasks as it relates to supporting the corporate office. Maintain an office coordinator oversees the office environment, manages office tasks and communications, and assists upper management with key functions. A typical day might involve handling incoming and outgoing emails, phone calls, and mail, as well as scheduling meetings, travel, and appointments.

 

EXPECTATIONS FOR SATISFACTORY JOB PERFORMANCE

 

    • Answering phone calls, transferring callers as appropriate
    • Greeting customers and visitors to the office, ensuring guests are comfortable and are connected with the right office personnel
    • Managing schedules for conference and community spaces
    • Monitoring and ordering inventory for office and break room supplies
    • Managing incoming and outgoing correspondence, including emails, faxes, mail and packages
    • Filing and organizing records, invoices and other important documentation
    • Submitting work orders and scheduling repairs for general office space and equipment
    • Ordering repairs for office equipment and maintenance, connecting with and escorting vendors
    • Strong written and verbal communication skills
    • Excellent organizational and time management skills
    • Great customer service and interpersonal skills
    • Friendly, service-oriented personality
    • Keen attention to detail
    • Problem-solving and basic troubleshooting skills
    • Proficiency with common word processing and spreadsheet software

    • Excellent knowledge of MS Office? back-office and accounting software

    • Attends periodic training and safety meetings


ESSENTIAL FUNCTIONS

 

    • Able to read and communicate in English
    • Requires physical exertion to manually move, lift, carry, pull, or push heavy objects or materials up to 50 pounds
    • Repetitive motion involved on a daily basis may include, but not limited to, bending, twisting, pushing, pulling, reaching, climbing, and squatting
    • Proven experience working in a professional office environment
    • High proficiency in technology and Microsoft applications
    • Excellent verbal and written communication skills
    • High standards of customer service
    • Organizational and time management skills
    • Great team player
    • Ability to sit in front of a computer for many hours a day
    • Enthusiastic and passionate
    • Can work independently and in stressful environments
    • Regular, consistent and predictable attendance
    • Optional local area travel using personal vehicle. Approximately 10% of the time and will vary during the month and week.
    • May have responsibility to enter customer facilities that require background screening.


EDUCATION AND CERTIFICATIONS

 

Prefer a high school diploma or equivalent plus 1–2 years of experience in clerical supporting role.

Some college or experience.
